The Export Process Explained
Process
Don’t hesitate to get in touch about any of the machines listed on our site. Once payment has been completed, starting with the required paperwork, we’ll begin the process of preparing your purchase to leave our yard and arrive safely at your door.
The first step a buyer must take is to find a customs broker. Knowing the market well, we’re more than happy to advise you on this.
In order to streamline the process, we then work alongside our own broker, sending them a few pieces of necessary documentation:
- Sales Invoice
- Destination Code (place where the goods will be cleared, obtained from your customs broker)
- ID Code
- EORI number
Once our broker has the above items, they’re then able to supply us with an EXA document (Customs Export Declaration). The export document will be given to the driver when they pick up the goods.
The process of obtaining a CMR (International Consignment Note) is also efficiently handled by our broker. This is a vital step in ensuring that you are not liable for paying any VAT.
The same CMR is stamped and signed upon the customer’s receipt of the machinery in the intended destination country. Along with a copy of the shipping invoice, the CMR provides proof that the goods have reached the intended destination. To allow our broker to obtain a CMR, we will need:
- Your business trading name, full address and contact details.
- Your valid VAT number, including the first two letters, and VAT records. All VAT numbers are checked and verified.
Once we have all the necessary paperwork supplied and in order, we can then move on to preparing your machine for collection.
Prepare
Due to new EU phytosanitary regulations, all agricultural items sold to EU countries and Northern Ireland are now required to be certified clean by DEFRA inspectors.
Clarke and Pulman exports to DEFRA’s high standards by fully preparing your machine with our modern wash and valeting bay facilities. We will provide full phytosanitary documentation.
To organise the necessary cleaning, inspection and certification, we require a minimum of 7 working days.
If you are booking transport, please ensure your appointed haulier is aware of this notice period.
Once the phytosanitary certificate has been issued, you have 14 days to export the equipment.
Transport
Due to new regulations, some additional documentation is now required for exporting to the EU.
The responsibility for the documentation varies depending on who is responsible for the transportation.
If required, we can advise and arrange transport on your behalf. This will be at the buyer’s cost, and may be agreed within the final purchase price. However, if you already have your own transport company in place, we’ll happily work with them through the process.
The elected haulier is responsible for completing a T1 form. This document states who is liable for the goods/transport, and allows travel through EU countries without incurring additional duties and taxes.
If the buyer is responsible for transport, the transport provider takes care of filling theT1 declaration. If Clarke & Pulman are sorting transport, we’ll complete the T1.
The buyer will still remain responsible for any import duties that may become due for importing into the destination country.
Loading of items purchased are by appointment only. Please ensure your appointed haulier, if you are using one, follows this procedure.
Deliver
When the goods arrive at the intended destination, the haulage driver will stamp and sign the CMR (International Consignment Note), upon customer receipt.
A Note About VAT
Goods purchased by EU buyers will be zero rated for VAT purposes subject to the following conditions being met: –
- The goods are sent or transported out of the UK to a destination in an EC Member State.
- We receive valid commercial documentary evidence that the goods have been removed from the UK and been delivered to another EC member state.
These documents (the stamped, signed CMR and the shipping invoice) must be received within three months/one month? of the date of the sale/ original collection date.
This information is required via email in order to verify that the machinery has reached its intended destination.
